Are You An Information Manager, or Mis-Manager?

With the growing mass of bits and pieces of information stored on your computer that you need to do your job, it is all too easy to mis-file something, or to forget which folder you put it in, or what you named the file. Sure, it was obvious when you stored it, but that was 6 months ago, and now you can't seem to find it. We all have that problem.

Fortunately there is an excellent solution for all of us - FindOnClick. Now you can search through the jig-saw puzzle of hundreds of folders in a flash. You can search for the right files by specifying something in the file's path, a part of its name, its size, the creation or modification date and even the content of the file. Once the files matching the description are found, you can open their folder, or open the file, or delete it.

For example: you might want to find all files containing the words "purchase order" and created within the last month. It is easy with FindOnClick - and FAST, too. Maybe I'm less organized than you are, but I use FindOnClick at least once a day. You might be surprised how much you use it, too.

FindOnClick does even more for you. Like finding all of the duplicate photograph files that you might want to delete to save disk space. Or comparing the found files from different days, to see what has changed. Take a look at FindOnClick - it will save you time and frustration.

How much of the information on your computer might harm you or your company if someone else got their hands on it? You can prevent any unauthroized access by encrypting your files with EncryptOnClick, protecting them to the same security standard as is used by the military.

What do you do when you don't want files any longer? Do you just click "Delete"? Or Delete and then empty the Recycle Bin? Guess what - the file is STILL on your drive. You can't see it but someone else CAN with the right software recovery tool (see below). Our DeleteOnClick program uses military grade deletion processes to securely delete any type of file and wipe it off the face of your drive forever.

UnDeleteOnClick is the 'software recovery tool' mentioned above. It will recover a file that you accidentally deleted, or that someone else deleted thinking that you wouldn't see them. Did someone download inappropriate information from the web to your computer? Even if they deleted it normally, it is still there, and you're responsible. UnDeleteOnClick will find those hidden files for you to properly dispose of them.

PatchOnClick is a good tool to help you save disk space and bandwidth. Instead of saving full copies of changed documents, just create "patch files". The patch will contain only the changes to an original document, and then can be applied to the original to change it. This will also be a very convenient way of sharing very large files so that you don't need to redistribute the parts that haven't changed.

How much of the information on your computer might harm you or your company if someone else got their hands on it? You can prevent any unauthorized access by encrypting your files with EncryptOnClick, protecting them to the same security standard as is used by the military.

Isn't it a pain to encrypt a whole file when only one piece of information in it is secret? Rather than put a person's new password in a text file, encrypt and save the file, and then attach it to an email (whew!) - just use ScrambleOnClick. It will let you encrypt just a section of text inside your document - an eMail, Word document, PDF file - anything that handles text. The result looks like random characters, but can easily be decoded by the recipient - if they have the proper encryption key, of course.

Finally, with all this talk about files and data, you will need to ensure that all your information is kept safe and backed up frequently. Our flagship product, SyncBackSE, can help do just that. You will be able to backup to any storage drive or facility that appears as a system drive on your computer. In other words, you can use SyncBackSE to backup to a USB external drive, flash drive, an offsite server via FTP or even a commercial offsite storage facility for guaranteed security. You can even use SyncBackSE to synchronize 2 computers so that you are sure that the file that you have is the latest and updated version.

So... if you find yourself stressed by trying to manage your complex information, take advantage of our excellent tools and make your life easier. You can try any of them for 30 days, with no obligation whatsoever. Why not?

Staff Sparks

Hey there! Debbie Grignani is my name and I'm 2BrightSparks' Customer Communications Officer. You've heard from me previously about my role in the company, so I thought I might just give you a little insight into what I'm about, if you're interested of course.

After becoming a mother about 20 months ago, I had to adjust my life to always consider how a little one would be accommodated. For example, I used to enjoy going to the movies and simply hanging out with friends at a cafe but that life has to be put on hold for the next..... I don't know......18 years maybe? Instead, movies have to be rented home and friends invited home occasionally. However, seeing my son develop and grow up is so much more rewarding than most things that I'm missing out on in the process.

Over the past couple of months, I've developed a liking towards a couple of hobbies that could accommodate my son. They include looking for really easy and healthy recipes on the internet for my family, cooking and playing the occasional computer game, in particular World of Warcraft. It's become a hobby that my husband and I share since becoming parents and having to be under "house-arrest" at night so that our little one can sleep.

Putting on my 2BrightSparks hat, I look forward to receiving any feedback and comments that you might have about our products and also to welcome you as a valued customer if you're not already one. If you're an existing customer and need assistance, I look forward to helping you in any way I can. Thank you for having confidence in our programs!

Backup vs Synchronize

If We often hear from new users that they find SyncBackSE to be a bit confusing, because of all the possible options. We understand, and sympathize, and continually work on ways to make it easier for you to select just what you want. Here are a few tips that may help.

1) Probably 95% of all home and small office situations are very straight-forward. You can probably set up a profile by just specifying the Source and Destination, and telling SyncBackSE whether you want to Backup, or to Synchronize. That’s all it takes.

2) Which brings us to a decision point immediately – Backup and Synchronize - what is the difference?

If your objective is to save copies of your files to recover in an emergency, then choose Backup. That is the choice of probably 90% of users. It will take a COPY from the Source location, and put it in the Destination – with the same folder structure. We’ll talk more about Backup options in the next newsletter.

You would use Synchronize if you want to keep the files the same on two different computers. For example: I “Backup” most of my data to my wife’s computer. However, we each have a folder that contains all of our photographs. Either one of us might add, change or delete photos. So we “Synchronize” that particular folder so that we each have the same set of pictures. If I reformat a picture, it is changed in her folder. If she adds pictures from her camera, they show up in my folder, also.

Another common use of Synchronize is to keep the files of an office workstation and a laptop the same. Before I go on a trip, I connect my laptop to the network and run a Synchronize profile that updates the notebook with all the latest files from my workstation. When I return, I connect it again, and run the same profile. All the files that I changed while traveling are now updated on my workstation.

3) How about backing up from multiple folders? Quite easy, really. Specify the Source as being the highest-level folder of all those that you might want to back up. You can select the drive itself, like “C:\” for example.

Now click on the button labeled “Choose sub-directories and files”, that is just under the Destination drive field. You will see a list of all folders and files contained within your Destination specification. By default, all folders and files are checked, to be included in the backup. Just uncheck (click on the checkmark) those that you DON’T want to back up. If you only want to backup some of the contents of a folder, click on the “+” to expand that folder and uncheck whatever you do not want backed up.

Do you have something that’s causing you a problem? Post your question on the User Forum, and you’ll get the solution quickly.

If you have a story to share about your unusual application for SyncBackSE, or how it saved the day when you lost your files, send a message via the Contact Form for posting on our upcoming User Experiences page. (We’ll keep your identity a secret, if you like.)
